Privacy notice
We collect what we need to respond to your inquiry and evaluate your property, we protect it, and we don't sell it.
What we collect
- Property inquiries: the property address and the name, phone number and/or email you give us, your preferred contact method and time, and the contact permissions you choose.
- Optional updates: if you ask for occasional updates after sending an inquiry, that choice and when you made it.
- Optional questionnaire: your answers about the property and any photos you choose to upload.
- Messages and requests: what you send through our contact form or mail removal form.
- Site usage: anonymous page and form-step events (for example, that the inquiry form was opened) linked to a random session code, plus any campaign code from a postcard link. These events never include your name, address or contact details.
- Security data: a one-way, keyed hash of your IP address, used to prevent abuse. We don't store the IP address itself.
How we use it
- To respond to your inquiry and talk with you about a possible purchase.
- To research and evaluate the property.
- To keep records of our conversations and any agreements.
- To honor your contact preferences, including requests to stop mail, calls, texts or emails.
- To understand which of our postcards and pages are useful, using anonymous counts.
We only send promotional messages if you separately agreed to receive them.
Where it is stored
Our website, database and the photos you upload are hosted by Fly.io on encrypted storage in Ashburn, Virginia. Database backups are kept for up to 14 days and then deleted.
Like any web host, Fly.io handles technical information such as IP addresses to deliver the site and protect it from abuse. Our own application doesn't store your IP address (only the keyed hash described above), and our logs don't record what you type into our forms.
How long we keep it
We keep inquiry records while we are in contact with you and for a reasonable period afterwards for business records. If you ask us to delete your information, we remove your personal details but keep the minimum needed to honor any do-not-contact request. Deleted information can remain in backups for up to 14 days.
Your choices
- You can ask us to stop contacting you at any time, by phone, text, email or mail.
- You can ask what information we hold about you, ask us to correct it, or ask us to delete it, using our contact page.
- Uploading photos and answering the questionnaire are always optional.
Security
Your information is stored in a private database with access limited to staff who need it for their role. Photos you upload are converted to a standard image format, which removes embedded details such as GPS location, and stored privately. Only signed-in members of our team whose role allows it can view them; they never have public links. No system is perfectly secure, and we'll tell you if a problem affects your information as required by law.
Changes
If we change this notice, we'll update it here. Inquiries record which version of our notice was shown when they were sent.
